1. About these terms
These terms are the agreement between you and Rokn for using the Rokn service (the "Service"). By creating an account or using the Service you accept them. If you use Rokn on behalf of a business, you accept them for that business and confirm you are allowed to.
Rokn is built for professionals: freelancers, independent professionals and small teams. It is not intended for personal, household or consumer use, and you must be at least 18 to create an account.
We may update these terms. For a material change we will tell workspace owners by email or in the app at least 30 days before it takes effect. If you keep using Rokn after that date, the new terms apply. If you do not agree, you can close your workspace before then.
2. Accounts and workspaces
- You need an account to use Rokn. Keep your sign-in details secret and turn on two-factor authentication where you can. You are responsible for what happens under your account.
- Your data lives in a workspace. The person who creates a workspace is its owner and controls who is invited, which roles they have, and whether clients get portal access.
- You are responsible for the people you invite and for the access you give your clients through the client portal, shared links and public pages (payment, booking, quote approval and signing pages).
- Give accurate information, and keep your billing and contact details up to date.
3. Plans, billing and cancellation
- Rokn has a free plan and paid plans. Current prices, limits and included AI credits are shown on the pricing page and in the app before you buy.
- Paid plans are billed in advance, monthly, through our payment provider Stripe, and renew automatically until you cancel.
- You can cancel at any time from your workspace billing settings. Cancellation takes effect at the end of the current billing period, and you keep access until then. Periods already paid are not refunded, except where the law requires it.
- If a payment fails we will retry it and remind you. If it is still unpaid after 7 days, your workspace becomes read-only until the payment succeeds. Your data is not deleted because of a failed payment.
- AI credit packs are one-off purchases. Credits from a pack are added to your workspace and are not refundable once any of them have been used.
- Prices may change. A price change applies from your next billing period after we have told you at least 30 days in advance.
4. Your content
- Everything you and your team put into Rokn (clients, projects, invoices, documents, files, messages and so on) remains yours.
- You give us the limited permission we need to host, copy, process, display and send that content solely to provide the Service to you: for example to store your files, generate your PDFs, send your emails and run your assistant requests.
- When your content includes personal data about other people (your clients, their contacts, your team), you are the controller of that data and we process it on your behalf under our Data Processing Agreement, which is part of these terms.
- You are responsible for having the right to use the content you upload and for complying with the laws that apply to your own business, including invoicing, tax and data-protection law towards your clients.
5. Acceptable use
You must not use Rokn to:
- break the law, or help someone else break it, including fraud, phishing or infringing other people's rights;
- send spam or unsolicited bulk email. Email campaigns may only go to people who agreed to receive them, and must honour unsubscribes;
- upload malware, or try to reach data, accounts or systems you are not authorised to access;
- probe, overload or disrupt the Service, or get around its limits, rate limits or security measures;
- resell or give access to the Service to third parties outside your workspace, except through the features Rokn provides for that (team members and client portal);
- store content that is illegal or that you have no right to hold.
We may suspend access to a workspace, or to a specific feature, if it is used in a way that breaks this section or puts the Service or other customers at risk. Unless the situation is urgent, we will contact you first and give you a chance to fix it.
6. Connected services and the assistant
- Some features connect to services you choose: your own payment gateway (such as your own Stripe account), your own email provider, Google Calendar, outbound webhooks and the API. Your use of those services is governed by their own terms, and you are responsible for the accounts and keys you connect.
- Payments your clients make through your own gateway go to your account. Rokn does not hold or transfer your clients' money.
- The in-app assistant uses AI models from Anthropic or OpenAI. It acts with your permissions and can prepare changes, but anything it writes asks for your approval first. AI output can be wrong, so review what it proposes before approving it. You remain responsible for what you send to your clients.
7. Availability and support
We work to keep Rokn available and secure, and we fix problems as quickly as we reasonably can. However, the Service is provided "as is", with no guarantee of uninterrupted availability or of fitness for a particular purpose. We may need maintenance windows, and we may change or remove features. If we remove a feature that is central to a paid plan, we will give you notice.

8. Closing a workspace and your data
- The workspace owner can export the workspace's data at any time from settings. The export is a machine-readable file.
- The owner can close the workspace. A closed workspace can be recovered for 30 days. After that its data is permanently deleted, except the records we must keep: our own billing records with you and a minimal record of the closure. Backups containing it expire within a further 30 days.
- You can stop using Rokn at any time. We may terminate these terms for a serious breach that you do not fix within 15 days of our notice, or immediately where the law requires it.
9. Liability
- Nothing in these terms limits liability that cannot be limited by law, such as liability for fraud or gross negligence (faute lourde).
- Otherwise, we are not liable for indirect losses such as lost profits, lost revenue or lost business opportunities.
- Our total liability for all claims in any 12-month period is limited to the amount you paid us for the Service in the 12 months before the event that caused the claim.
- You keep your own copies of anything that is critical to your business. Workspace export is there for that.
10. General
- These terms are governed by French law. We will first try to resolve any dispute amicably. Failing that, the competent French courts have jurisdiction.
- If a clause is found invalid, the rest of these terms still applies.
- These terms, the Privacy Policy and the Data Processing Agreement are the whole agreement between you and us about the Service.
